## How to Subscribe
Getting started with Feedz takes less than a minute:
1. **Download the app** — available on the [App Store](https://apps.apple.com/gb/app/feedz/id6745529641) and [Google Play](https://play.google.com/store/apps/details?id=club.feedz.Feedz).
2. **Create your account** — sign up with your email and set up your coaching profile.

## Payments and Billing
Subscription payments are processed securely through the **Apple App Store** or **Google Play Store**, depending on the device you use to sign up. Feedz never handles your payment details directly.
Coach+ is billed on a **recurring monthly basis**. Your subscription renews automatically each month on your billing anniversary date. If you cancel, your plan stays active until the end of the current billing period — you won't lose access mid-cycle.

# How to Redeem a Promo Code

Apply a promo code to unlock a discounted or free trial of Feedz.
If you have a promo code, you can redeem it directly from the Feedz subscription screen.
## How to redeem a code
1. Open the Feedz app and navigate to the subscription screen (complete the [Setup](/getting-started/download-and-setup) flow, or if you already have an account, navigate to the Account tab and look for the Subscription section).
2. Tap **Have a promo code?** at the bottom of the screen.
3. Enter your code in the field that appears.
4. Tap **Apply**.
If the code is valid and active, you'll be taken to the App Store or Google Play with the offer automatically applied. Complete the checkout there to activate your plan.
Promo codes are case-insensitive — you can enter them in uppercase or lowercase.
## Troubleshooting
**The code isn't being accepted.** Double-check for typos and make sure there are no extra spaces. Codes are time-limited, so it's possible the offer has expired — contact the person or organisation who shared the code with you to confirm it's still active.
**I applied the code but didn't get taken to the store.** This can happen if the code has already been redeemed on your account or if the code is for new users only. If you believe this is an error, contact [support@feedz.club](mailto:support@feedz.club).
# Academies

Create and manage the groups that organise your trainees and their reports.
Academies are the core organisational unit in Feedz. Each academy groups a set of trainees under one or more trainers, scoping which coaches can see which Trainees and their reports.
Navigate to **Academies** in the sidebar to see all academies in your organisation.

## Creating an academy
Click **+ New Academy** in the top-right corner. Fill in the form:
* **Name** — the public display name
* **Description** — optional summary
* **Activity** — the sport or discipline
* **Group** — age group (e.g. Adults, Juniors); this selection will also recommend a tone for the AI feedback
* **Feedback tone** — the tone of the reports generated in this academy.

# Giving Feedback to Other Coaches in Feedz

Enterprise coaches can give and receive structured AI feedback from one another — as long as they belong to the same academy. Here's how to set it up and use it.
Coach-to-coach feedback works the same way as trainee feedback — you record a voice note, Feedz generates a structured report, and it's shared with the recipient. The only requirement is that both coaches belong to the same academy, which is configured from the web dashboard.
Coach-to-coach feedback is an Enterprise feature. It requires at least two coaches assigned to the same academy.
## Step 1: Assign Coaches to the Same Academy
Before coaches can give each other feedback in the app, they need to be part of the same academy in the web dashboard.
Log in to your Feedz web dashboard and click **Academies** in the left navigation.
Click into the academy you want to configure.
At the top of the academy page you'll see the list of coaches currently assigned. Click the **+** button to add a new or existing coach to this academy.
Click **Save changes**. The coaches you've added will now be visible to one another in the Feedz app.

## Step 2: Give Feedback to a Coach
Once coaches are assigned to the same academy, they'll appear in the **Coaches** section on the home screen of the app.
From the Feedz home screen, scroll to the **Coaches** section. You'll see all coaches assigned to the same academy as you.
Tap their name to open their profile.
Follow the same steps as giving feedback to a trainee — record your voice note, let the AI generate the report, review it, and share it.

## Viewing Previous Coach Reports
You can access coach reports you've previously generated in two ways:
* **From the home screen** — go to the **Coaches** section, tap the coach's name to open their profile, and scroll to their report history.
* **From the Reports section** — go to **Reports** and tap the **Coaches** toggle at the top of the screen to filter for coach reports.

The panel on the right side of the page shows the most recently submitted reports. Each entry displays:
* The **trainee's name**
* The **trainer who submitted** the report

# Configuring Your Org with Guided Setup

Use the Guided Setup wizard to configure your organisation from scratch in five steps.
When you first access the Feedz Enterprise dashboard, you will be greeted by the Guided setup screen (you can also open this manually by clicking the **Guided setup** button in the top-right corner to launch the setup wizard). It walks you through the five core tasks needed to get your organisation ready.
If you've been through it before, you can relaunch it at any time — it will pick up your existing data so you can review or update things without starting over.

## Step 1 — Add your team
Team members are the trainers, admins, and owners who use Feedz under your Enterprise plan. Everyone you add here will appear in the **Users** tab, where you can manage their roles and settings later.
To add a member, click **Add team member** and fill in:
* **First name** and **Last name**
* **Email address** — they'll receive an invite to log in
* **Role** — choose from `TRAINER`, `ADMIN`, or `OWNER`

## Step 2 — Add academies
Academies are groups that organise your trainees and their reports. A football club might have one academy per age group; a multi-sport organisation might have one per sport.
Click **Add academy** and provide:
* **Name** — the academy's display name
* **Activity** — the sport or discipline (e.g. Football, Tennis)
* **Group** — the age group (e.g. Adults, Youth, Kids)
* **Academy trainers** — which team members can create reports inside this academy
Click **Add academy** to create the academy. You can create as many academies as you need and manage them later from the **Academies** tab.
Click **Next** when done.

## Step 3 — Add trainees
Trainees are the Trainees who receive feedback reports. Each trainee belongs to one or more academies.
Click **Add trainee** and enter:
* **Name**
* Select **Academy** — which academy they belong to
* Add their **Name**
* Enter their **Email**
* Tick **Contact is guardian** if the contact details are for the Trainee's guardian, and enter the **Guardian's name**
Click **Add trainee** to save and create the trainee. Once added, trainees are accessible from the **Trainees** tab where you can view their report history and update their details.
Click **Next** when done.

## Step 4 — Bulk import
If you have a large number of academies, trainers, or trainees to set up, bulk import is faster than adding them one by one.
Navigate to the **Import/Export** tab, download the Excel template provided, fill it in with your data, then upload it to apply your changes. Full step-by-step guidance is available there.
Click **Next** to continue — you can always come back to this step later.

## Step 5 — Settings
The final step configures organisation-wide settings that apply to every member and academy. You can toggle:

# Import / Export

Bulk-load or update your organisation's data using an Excel file.
The Import / Export page lets you configure your organisation's setup in Feedz in bulk without adding records one by one. It follows a three-step workflow: export the template, fill it in with the additional entries or changes, then import it back.
Navigate to **Import / Export** in the sidebar to get started.

## Step 1 — Export
Download your current data as an Excel file. This gives you a template with the correct column structure already in place.
Click **Export & Download Now**. If you're setting up from scratch, the file will be mostly empty but will still have the correct headers.
Click **Next Step** to continue.

## Step 2 — Import
Open the downloaded file and edit it — add new rows for academies, trainers, or trainees, or update existing entries. Then upload the modified file using the import interface on this step.
Once you attach your file, the dashboard will display a preview of all detected changes, broken down by Academy, Trainee, User, and Trainer. Review these carefully before proceeding — this is your last chance to catch any errors before the changes are applied.
Leave column A (ID) blank for any new entries — Feedz will generate IDs automatically when you upload.
You cannot create academies and assign trainees to them in a single import. Run the import twice: first to create your academies, then again to add trainees and assign them to the academies created in the first pass. Academy names must match exactly between the two files.

Feedz processes the file and applies the changes.
Complete the bulk import before inviting users — that way their academies and trainees are already in place when they log in for the first time.

* **Avatar** — click your current avatar to upload a custom image. This appears on your profile across the platform.
* **First Name** and **Last Name** — update your display name (32 characters maximum). Click **Save** to apply changes.
The **Delete Account** section permanently removes your Feedz account, all associated academies, trainees, and reports. This action cannot be undone.

For large groups, use **Import / Export** to add trainees in bulk via an Excel template rather than one at a time.

We record audio feedback from the user and store it in the app. The audio is then processed by our servers and discarded immediately after a transcription is generated. We only use these transcripts to generate reports. The reports and transcripts are stored until the report is deleted and are not shared with any third parties.
In order to delete your account follow these steps:

* Tap on **Account** to the account page, using the navigation bar.
* Scroll to the bottom of the page.

Most issues with Feedz are quick to resolve. This page walks you through the most common problems coaches encounter — covering failed recordings, report accuracy, login trouble, billing, and more. A few things can prevent a recording from generating a report. The most common causes are a poor or dropped internet connection and recordings that are too short to process. Check your connection and try submitting again. If the issue persists, close and restart the app, then re-record your observations. For best results, record in an area with a stable connection and speak for at least a few sentences.
The AI may rephrase, restructure, or reformat your observations to produce a professional report — this is by design. However, if the meaning feels off, use the voice editing feature to refine the content before you share it. You have up to 3 voice edits per report. If you're consistently getting poor results, try speaking more clearly and including specific details about the Trainee and their performance, such as their name, position, and the exact skills or behaviours you observed.
To share a report with the trainee from Feedz, you need to add their email address to their profile in Feedz. This will allow you to enable automatic sharing of the reports on approval from within Feedz. Go to your Trainee profile and check that the correct email address has been added.
You can also share the report by tapping Share Report on the report page, and sharing via your chosen app.
Your monthly report credits reset on your billing anniversary date. You can check how many credits you have remaining by going to **Account** tab in the app, under the **Subscription** section. If you need to generate more reports before your credits reset, consider upgrading to the Enterprise plan, which includes unlimited reports. Start by closing and fully reopening the app. Then check that you're running the latest version — updates are available from the App Store or Google Play and often include performance improvements and bug fixes. If the problem continues after updating, contact the support team at [help@feedz.club](mailto:help@feedz.club) with a description of what you were doing when the issue occurred.
Feedz subscriptions are managed through the App Store or Google Play, not from within the app itself. To cancel, go to your App Store or Google Play subscription settings and cancel the Feedz subscription from there. Your access continues until the end of the current billing period — you won't lose access immediately upon cancelling.
Deleting the Feedz app does **not** cancel your subscription. Your subscription remains active and billing continues until you cancel it directly through the App Store or Google Play subscription settings. If you believe you're owed a refund, contact Apple or Google support — refunds are subject to their individual refund policies.

# Using Academies to Organise Your Coaching Groups in Feedz

Academies in Feedz mirror your real-world coaching groups. Create one academy per team or group and switch between them to keep your Trainees and reports organised.
An academy in Feedz is a self-contained coaching group — the digital equivalent of a team, squad, or club you coach in the real world. Everything inside an academy is separate: its own roster of Trainees, its own report history, and its own settings. If you coach multiple groups, you can create a dedicated academy for each one and switch between them at any time.
## What Is an Academy?
When you first set up Feedz, your first academy is automatically created based on the activity you selected during the onboarding. Think of it as your coaching workspace for a specific group of people. You can edit this academy and its Trainees inside the app.
A football coach who runs both an under-9s group and an under-14s squad creates a separate academy for each — Trainees, sessions, and reports stay completely separate.
A coach who runs football training on Saturdays and a tennis group on weekday evenings creates one academy per sport, each with its own sport-specific AI settings.
A freelance coach working with two different clubs sets up an academy for each club, keeping their rosters, branding, and report history cleanly separated.
A coach running a summer skills programme alongside their regular squad creates a dedicated academy for the programme, so its Trainees and reports don't mix with the main group.

## Creating a New Academy
From the Feedz home screen, tap **Academies** at the bottom of the screen to open the academy panel. Tap the **+** at the top to **Create a New Academy**
Add a **Academy Name** and a brief description of your academy (optional). **Select the Activity** you'll be coaching for this academy.
Choose the **Age Group** of the Trainees in this academy, and customise the **Feedback Tone** which should be used for the final reports. Feedz will recommend a tone for each age group, or you could also preserve your original tone.
Upload your **Academy Logo** and choose the primary and secondary colours whcih will be used to apply branding to the final reports. You can skip this section, the report will use the default Feedz branding .
Tap **Create**. Your new academy is ready — you'll be taken back to the Academies tab where you will see your new academy.
Name your academies clearly from the start — names like "U9s Sat" and "U14s Sun" are much easier to navigate than generic labels.

## Switching Between Academies
You can switch between academies by scrolling through the list on the Home tab, or by navigating to the Academies section.

## Trainees Are Academy-Specific
Each Trainee belongs to the academy they were added to. A Trainee in your U9s academy won't appear in your U14s academy — their profiles, report history, and contact details are kept completely separate.
If an Trainee moves between your groups, you'll need to add them to the new academy manually. Navigate to the new **Academy**, tap on **Add Existing**, and click the **+** next to the Trainee's name to add them to their new academy. Historical reports from the previous academy are linked to the Trainee's account and transfer automatically.

## How Many Academies Can I Create?
Coach+ allows you to create and manage **multiple academies** under a single subscription with no fixed cap.
Your **30 monthly report credits** are shared across all your academies — not allocated per academy. So 10 reports in your U9s academy and 10 in your U14s academy uses 20 credits from your monthly total.

## Editing or Deleting an Academy
To rename your academy or update its settings, open the **Academies** tab, tap the **☰** menu at the top right of the screen and select **Edit Academy**.
Deleting an academy permanently disassociates all Trainees and reports from within it. This cannot be undone. If you no longer actively use an academy but want to keep the history, leave it in place and simply stop switching to it.

Your trainee roster is the foundation of everything you do in Feedz. Every report you generate, every piece of feedback you share, and every piece of development history you build is tied to an trainee profile. Keeping your roster accurate and well-organised means you can record, generate, and share feedback in seconds — every session, every time.
## Adding a Trainee
From the Feedz home screen, tap **Academies** and select the academy where you want to add a new trainee.
Tap the **Create New** button to open the new trainee form.
Fill in the required fields:
* **Academy** — pre-populated based on your earlier selection. Can be changed here if needed.
* **Full Name** — used to personalise every report generated for this Trainee.
* **Email** — required so you can share reports with the Trainee directly from the Feedz app.
Optionally add:
* \*\*Date of Birth \*\*— for under 13s, tick to indicate you have consent from their guardian.
* **Tags** — customisable labels you can use to tag each trainee.
* **Guardian toggle** — enable for Trainees who have a guardian. Replaces Trainee contact details fields with guardian contact details. Reports can be emailed to guardian's email.
* **Phone number** — for future notification features.
You can also add a **parent or guardian's contact details** here if you intend to share reports with them.
Tap **Create Trainee** to save. The trainee now appears in your academy and is ready to have feedback recorded against them.

## Guardian Consent for Minors
Before storing any information about a Trainee under the age of 13 — including their name, date of birth, and other details — you must have obtained explicit consent from their parent or guardian. Adding data without consent may violate data protection law and Feedz's acceptable use policy.
For **Trainees under the age of 13**, you must have appropriate consent in place before adding them to Feedz and generating reports. As the Coach, you are responsible for ensuring consent has been obtained through your club or organisation's standard safeguarding processes.

As your roster grows, tags help you stay organised — especially if you coach multiple teams or sports.
Apply one or more tags to any Trainee — for example, "U14s", "First Team", or "Summer Programme". Tags are freeform and searchable, so you can filter your roster instantly.
To add a tag, open any Trainee profile, tap the **☰** button, select **Edit Trainee**, and update the **Tags** field. Tap **Save** to publish your changes

Every report ever generated for a Trainee is stored in their profile — giving you a complete development timeline you can reference at any time.
Tap the Trainee's name by navigating to your academy's page or from the Trainees tab to open their profile.
Scroll down to the **Reports** section. Reports are listed in reverse chronological order, with the most recent at the top. Tap **See all** to view the complete list of reports.
Tap a report to open the full text, see whether it has been approved, preview the PDF file, and share it if needed.
Use report history before recording new feedback. Reviewing what you said last time helps you track progression, spot patterns, and make sure your feedback reflects genuine development over time — not just what happened in the most recent session.

## Editing a Trainee Profile
You can update any Trainee's details at any time — useful when you want to edit a Trainee's Academy or tags, if a Trainee moves age group, or you need to add contact details you didn't have when you first created their profile.
1. Find your Trainee in the Trainees tab, and tap on their name to open up their profile.
2. Tap tap the **☰** button in the top right corner, and select **Edit** **Trainee**.
3. Update any fields as needed.
4. Tap **Save** to apply the changes.

## Deleting a Trainee Profile
If a Trainee leaves your programme or you need to remove their data, you can delete their profile at any time.
1. Open the Trainee's profile.
2. Tap **☰** button in the top right corner, and select **Delete** **Trainee.**
3. Confirm the deletion when prompted.
Trainee data — including their profile and all associated reports — is stored securely and can be deleted at any time. Deletion is permanent and cannot be undone. If you only want to archive a Trainee without losing their history, consider adding an "Inactive" tag instead of deleting the profile.

## Starting a Recording
**Launch Feedz** on your iOS or Android device. Make sure you're on the home screen.
Find and open the profile of the **Trainee** you want to record feedback for. This links your recording directly to their profile and report history.
Tap on the **Give feedback** button to open the voice recording screen.
Tap the **Record** button (the microphone icon). Feedz will begin capturing your voice notes immediately.
Talk through what you saw during the session. Describe specific moments, actions, and behaviours as they come to mind. Pause and resume as needed until you've captured your feedback. When you're done, tap **Stop**.
Tap **Generate AI Feedback**. Feedz will process your recording and produce a structured, professional report within seconds.

## Tips for Great Recordings
The quality of your AI-generated report is directly tied to the detail you include in your voice note. Keep these principles in mind to get the most useful output every time.
Mention the Trainee's name at least once early in your recording. This helps the AI personalise the report and ensures the feedback reads as specific rather than generic.
Describe what happened — "in the second half when defending the corner" is far more useful than "defensively". Concrete examples give the AI more to work with.
Balance your observations. Mention what the Trainee did well alongside what they should focus on improving. A two-sided report is more motivating and actionable for the Trainee.
Don't try to organise your thoughts into sections before you record. Feedz structures the report for you — your job is just to share honest, specific observations.

## What Not to Include in Voice Notes
To protect Trainee welfare and comply with Feedz's acceptable use policy, keep the following out of your recordings.
Do not include sensitive personal information beyond an Trainee's name in your voice notes. This includes details such as medical diagnoses, mental health observations, family circumstances, financial information, or anything else that falls outside the scope of sports coaching feedback. Recording such information may violate data protection laws and Feedz's acceptable use policy.
* **Medical or health information** — injuries should be referenced only in the context of performance impact, not diagnosis or treatment details.
* **Personal or family circumstances** — home life, relationships, or financial situations have no place in a coaching report.
* **Sensitive identifying information** — beyond the Trainee's name, avoid including addresses, school names, or other information that could identify a minor to a third party.
* **Discriminatory or inappropriate language** — feedback must be constructive and professional at all times.
* **Speculation about character or personal attributes** — focus on observable behaviours and performance, not assumptions about attitude or personality.
If you're unsure whether something is appropriate to include, leave it out and address it in a private conversation with the Trainee or their guardian instead.

## How to Share a Report
Navigate to the report you want to share from your Trainee's profile, the **Reports** tab,\*\* \*\*or the Feedback list on the home screen.
Read through the full report before approving. Make any voice edits you need now — you cannot edit a report after it has been approved.
Tap the **Approve Report** button at the top of the report view. If the automatic sharing is enabled, this will send an email to the trainee with the report attached.
You can also share the PDF report using your chose app. Tap the **Share Report** button at the top of the report view. A sharing options panel will appear listing all available options based on your apps.
Select from your list of apps depending on how you want to share the report and follow the in-app steps to share the report.
Share reports as soon as possible after a training session or match. Feedback is most valuable — and most motivating — when it's fresh. Trainees and guardians are more likely to engage with specific, timely observations than with a report that arrives days later.

## Step 1: Download the App

Add your **Trainee's** name and select the **Age Group** (Kids/Youth/Adults).

* At least one **Trainee** added to your **Academy**
* The Feedz app open on your device
* An active subscription or trial
## Recording and Generating Your Report
From the Feedz home screen, navigate to the profile of the Trainee you wish to give feedback for. Top the **Give feedback** button at the bottom of the screen.
Tap the **Record** button — it's the large microphone icon at the centre of the screen. The app will begin listening immediately.
Talk as you normally would after a session. Describe what you saw — the Trainee's performance, specific moments, strengths, and areas to work on. You don't need to use any particular format; just speak naturally and let your thoughts flow. You can pause and resume the recording as needed until you've finished giving feedback.
For the best results, mention specific things they did well, key moments from the session, and clear areas for improvement. The more detail you give the AI, the more precise and useful the finished report will be. For example: *"Great first touch today, really improved since last week — needs to work on tracking back when we lose possession."*
When you've finished speaking, tap the **Stop** button. To generate your report, tap the **Generate AI Feedback** button. Feedz will immediately begin processing your audio. A structured, professional report is typically ready in around 20 seconds.
Read through the report Feedz has produced. The AI will have organised your observations into clear sections and rephrased them into professional coaching language.
If anything needs adjusting, you can make edits to your report, either by using your voice or by manually typing into each section — tap the edit icon next to any section, type in your changes, and tap the **Save button.**
The AI may restructure or rephrase your observations to produce a professional, readable report. This is expected behaviour — always review the full report before sending it to make sure it accurately reflects your intended feedback.
Once you're happy with the report, tap **Approve**. You can then share it with your Trainee in any of the following ways:
* **PDF** — tap **Share report** to open the sharing menu and select your preferred way to shared the PDF report
* **Email** — if enabled in the Settings, an email will automatically be sent to your Trainee's email address (or their guardian's)
## What Happens Next
Your Trainee will receive their report instantly. They (or their parent or guardian) can save the PDF and refer back to it before their next session. Every report you generate is also saved to your coaching history, giving you a record of each Trainee's progress over time.
