## Guided Setup

When you first access the Feedz Enterprise dashboard, you'll be greeted by the Guided Setup screen. You can also open it manually by clicking the **Guided Setup** button in the top-right corner. It walks you through the five core tasks needed to get your organisation ready.

If you've been through it before, you can relaunch it at any time — it will pick up your existing data so you can review or update things without starting over.

All of the sections below can also be accessed individually from the sidebar at any time.

***

## Step 1 — Add your team

Team members are the Coaches, admins, and owners who use Feedz under your Enterprise plan. Everyone you add here will appear in the **Users** tab, where you can manage their roles and settings later.

To add a member during setup, click **Add team member** and fill in:

* **First name** and **Last name**
* **Email address** — they'll receive an invite to log in
* **Role** — choose from `COACH`, `ADMIN`, or `OWNER`

**Ongoing management:** Navigate to **Users** in the sidebar. Click **+ New User** to invite someone. Change a user's role at any time via the dropdown in the **Role** column. Click the **bin icon** to remove a user.

| Role | What they can do |
| - | - |
| COACH | Create and submit reports within their assigned academies |
| ADMIN | Manage academies, Players, and reports across the organisation |
| OWNER | Full access to all settings, permissions, and billing |

Click **Next** when you're done.

## Step 2 — Add Academies

Academies group your Players and Coaches. Each Academy has its own roster, report history, and settings. A football club might have one academy per age group; a multi-sport organisation might have one per sport.

To add an academy during setup, click **Add academy** and fill in:

* **Name** — the academy's display name
* **Activity** — the sport or discipline (e.g. Football, Tennis)
* **Group** — the age group (e.g. Adults, Youth, Kids)
* **Academy coaches** — which team members can create reports inside this academy

**Ongoing management:** Navigate to **Academies** in the sidebar. Click **+ New Academy** to create one. You can also set a **Feedback tone** (Original, Warm, Balanced, or Direct) and upload custom **branding** (colours and logo) for reports. Click the **pencil icon** on any row to edit, or the **bin icon** to delete.

Click **Next** when done.

***

## Step 3 — Add Players

Players are the people who receive coaching feedback. Each Player belongs to one or more academies.

To add a Player during setup, click **Add player** and fill in:

* **Academy** — the academy they should belong to
* **Name** — as it should appear on their reports
* **Email** — where the reports will be delivered
* **Contact is Guardian** — toggle on if the contact details belong to a parent or guardian, and enter the guardian's name

**Ongoing management:** Navigate to **Players** in the sidebar. Click **+ New Player** to add someone. The full form also includes optional fields for **Phone**, **Date of Birth**, and **Tags** (freeform labels, e.g. "First Team"). Click the **pencil icon** to edit any Player.

Click **Next** when done.

***

## Step 4 — Bulk Import

If you have a large number of Academies, Coaches, or Players to set up, bulk import is significantly faster than adding them one by one.

<Card title="Import / Export" icon="file-spreadsheet" href="/enterprise/import-export">
  Download the Excel template, fill in your data, and upload it to add Academies, Coaches, and Players in bulk. Full instructions here.
</Card>

You can access **Import / Export** at any time from the sidebar.

Click **Next** to continue.

***

## Step 5 — Permissions

Navigate to **Permissions** in the sidebar to control what each role can do. OWNER is always locked to full access. Toggle ADMIN and COACH permissions across:

* **Academy** — create, edit, delete
* **Player** — create, edit, delete
* **Reports** — create, approve, delete
* **Academy Reports** — create, approve, delete
* **Coach Reports** — create, approve, delete

The **Visibility** section controls data scope: **All** (organisation-wide) or **Own academy** (restricted to assigned academies only).

Click **Save** to apply changes.

***

## Step 6 — Settings

The final Guided Setup step configures organisation-wide toggles that apply to every member and academy. These can also be updated at any time from the **Settings** page in the sidebar.

| Setting | What it does |
| - | - |
| **Automated emails** | Automatically emails reports to Players after a Coach approves them |
| **Training video search** | Lets Coaches attach AI-suggested training videos to reports |
| **Inspirational story search** | Lets Coaches attach AI-suggested inspirational examples to reports |

Click **Save settings**, then **Complete setup** to finish. Your team can now log into the Feedz mobile app and start giving feedback.
